Grant Proposal Submission Checklist

This page has been designed specifically for the use of the A&S faculty to assist in the grant submission process. In it you will find guidance concerning university and department requirements, procedures, required forms, and most importantly, who to contact should questions arise.

    LOOKING FOR FUNDING OPPORTUNITIES

  1. A&S recommends using the IRIS database for your search.

    Note: For private or foundation searches, contact Miriam McLean, Associate Director of Corporate and Foundation Relations (CFR).

  2. On occasion the sponsor may limit the number of proposals submitted from one institution. Please contact Paul Murphy, Office of the Vice Provost (OVP), immediately, if the sponsoring agency has set such limits.
  3. GETTING STARTED

  4. Start this process at least a month in advance of the stated grant deadline.
     
  5. Download and email an electronic version of the grant solicitation (RFA, RFP, PA) and a brief description of intent to your representative in the Office of Vice Provost or to Anthony Keevan, Biology.
     
  6. If your solicitation will involve a special request as listed below, please obtain approval from your Department Chair and the Dean's Office as described below.

    Please inform your A&S Representative (see item 4), once approval has been obtained.

    PREPARING THE SUBMISSION
     

  7. Your A&S representative (see item 4) is available to assist you with the following:
    • funding opportunity searches
    • understanding sponsor or grant guidelines/requirements
    • administrative pages of your proposal
    • budget preparation
    • fulfilling subcontractor and other collaborative requirements
    • navigating the Tufts internal process
       
  8. Things to remember:
    • Always adhere to the requirements of the grant solicitation.

    • Graduate students' salaries/stipends are guided by the department's policy on teaching assistants.
    • For Graduate Research Assistants budgeted on grant proposals, A&S requires recovering 15% of tuition costs in the proposal for each graduate student in all years of the grant that the student is working.
    • A&S also requires recovering 100% health insurance and fees for each graduate student budgeted in the proposal for all years that the student is budgeted.

    ROUTING THE SUBMISSION
     
  9. Begin routing the proposal seven business (7) days in advance of the deadline, especially for Grants.gov submissions.

    • The following required internal forms must be completed and attached to your proposal when routing for signatures.
    • Contact your A&S Representative (see item 4) if you need help completing these forms.
    • Forward original forms and the full proposal to those individuals whose signatures are required on the Coordination Form.
